Apology Letter

Writes a personal or professional apology letter that names what happened, owns it without excuses, shows the impact on them and says what will change.

Added Oct 21, 2026

An apology letter works when it names what happened, owns it and says what will change, and this prompt writes one from your own account of events. You tell it who you’re apologising to, what happened, how it affected them and what you’ll do differently, and it writes a short note, a full letter or both, in a warm, formal or simple tone.

How to write an apology letter that people believe

Most apologies fail in the same places. They stay vague (“for everything”), they add a “but”, or they turn the focus to how the other person reacted: “I’m sorry if you were offended.” A sincere apology does the opposite. It names the specific thing you did, says sorry in the first person, describes the impact on the other person in their terms, and states what you have fixed or will change. Then it stops, without asking for forgiveness on a schedule.

The prompt follows that order every time. If you write that you missed a friend’s birthday dinner after promising to come, the letter names the dinner, apologises for not showing up and not calling, acknowledges that they waited and felt let down, and says what you’ll do next, only if you told it.

Personal and professional apologies

A personal apology letter can be warm and a little longer. A professional one, to a client after a missed deadline or to a colleague after a heated meeting, stays shorter and focuses on the fix. The prompt adjusts to the context you choose, and in professional letters it avoids admissions beyond what you described and flags anything worth checking with someone first.

What it never does

The rules forbid the phrases that undo an apology: “if you were offended”, “mistakes were made”, “sorry you feel that way”. It never invents feelings, promises or details about you or the other person. If a fact is missing, it marks it and asks. It also lists the phrases it left out, so you don’t add them back while editing.

FAQ

Should an apology letter explain why it happened?

Only briefly, and after the apology, never before it. One line of context can help. A paragraph of reasons reads as an excuse.

How long should an apology letter be?

Shorter than most people think. A note under 80 words is often enough for a small mistake; a letter under 250 words covers something more serious.

Is a letter better than apologising in person?

It depends on what happened. The prompt ends with a line on whether to call or meet first and send the letter after.
